The Structure
The Management team is experienced and well qualified.
The structure consists of business units where ‘like’ exhibitions are grouped under a Business Manager, supported by specific sales, marketing and administrative coordinators. The areas of operations, graphic/web design and accounts are a shared resource.
The Team
Whilst having a broad calendar of events, Expertise Events always makes the Chief Executive Officer (CEO), Gary Fitz-Roy, and appointed Business Manager for the event available in all preplanning meetings.
This approach involves the relevant team in all relevant meetings with venues and suppliers, as well as exhibitors face-to-face, thus ensuring the fulfilment of our goal for a personable approach to our business. As well as this personal touch, it is ensured that the company continually communicates by email, fax and telephone.
The Leader
Gary Fitz-Roy is professionally known for his ability to conceptualise exhibitions defined by innovation, excitement and efficiency in operation.
He has close to 30 years experience in the Australian exhibition industry, and is on a number of venue advisory boards in both Australia and New Zealand, providing strategic and operational advice and direction.
Gary Fitz-Roy’s other achievements and credentials include:
- only Australian to have a book published on exhibitions specifically for the Australian marketplace
- being a founding member on the board of the Exhibition & Event Association of Australasia (EEAA)
- representing Food Marketing Institute of USA, for their event in Australia
- sole advisor to the Olympic Co-ordination Authority (OCA) on behalf of the exhibition industry
- member of the Exhibition Organisers Strategic Forum at the Sydney Convention & Exhibition Centre
- regularly comments in the media on issues relating to the exhibition industry
- has been on development committees for new convention and exhibition centre’s in Darwin and Perth
- Retained by Plenary Group for Sydney Convention & Exhibition Centre expansion, commencing November 2011
The Process
The planning process for the successful delivery of an event is about communication and establishing timelines to ensure smooth, professional execution.
Our management structure allows for multiple contact points, with staff empowered to make decisions that keep the event on track. Regular internal team meetings ensure any problems are dealt with quickly and effectively.
Each exhibition has a manager with the dual responsibilities of meeting customer and Board requirements including:
- developing, implementing, monitoring and reporting the exhibition’s Business Plan, including the Financial Budget and subsequent Forecasts
- identifying issues and proposing contingency plans
- implementing contingency plans
- reporting on the outcome of the exhibition comparing against the plan and suggesting improvement opportunities to build on success
- communicating to all stake holders (team, customers, advisory board) on a regular pre agreed basis.
Supported by a comprehensive enterprise resource planning system, USI-Ungerboeck, we are able to track all client orders. USI is used by all major exhibition centres in Australia and Expertise Events is the only major organiser in Australia to use this powerful planning and tracking software.
We work to a 13 step consultative process for identifying and resolving conflicts or disputes. The following 13 principles are used as a guideline to maintain the highest consultative standards within our business:
1. Consultation will be used where it has the potential to lead to change and resolution, not just for the sake of it.
2. We would work with the stakeholders to ensure that best practice is shared as much as possible and to avoid any duplication of consultation efforts.
3. Consultation will be carried out in a relevant, friendly and meaningful way that encourages participation, and is an open and honest two-way dialogue. We recognise that consultation and involvement is an ongoing process, not a one-off event.
4. We will attempt to ensure that consultation takes place at the earliest appropriate stage and before any serious disputes or conflicts develop.
5. Consultation exercises will be undertaken as much as possible in realistic time frames and if for any reason, such as short notice, an explanation will be given.
6. By working in advance we will identify explanations and terms of reference prior to the consultation exercise, to ensure a clear understanding from the outset that takes into account what is negotiable and what is not and who are the relevant stakeholders.
7. The needs of specialist groups/stakeholders will be taken into account wherever possible.
8. The opinions, beliefs, values and experiences of all stakeholders will be respected. Differing views will be recognised and consideration will be given in advance to manage conflict and differing opinions.
9. Existing consultation networks, forums and groups will be used as much as possible, but we are committed to adopting new and innovative ways of consulting where they have shown to be effective, e.g. information technology.
10. We will consider potential barriers to involvement such as time, methods used, location and also consider methods to overcome these in our consultation process.
11. The results of consultation that have taken place will be detailed in a report.
12. Timely and honest feedback will be given to those involved in the consultation process and it will be made clear how the results from the consultation have been incorporated into the decision making process.
13. Expertise Events will evaluate the success of consultation initiatives and use this to inform and improve future exercises and ensure resources are spent and used wisely.
